Caerphilly RFC Complaints Procedure

 


If a parent or guardian wishes to make a complaint regarding any perceived issues within the Mini and Junior Section, they should follow the procedure below from stage 1. For complaints that sit outside the Mini and Junior Section the complainant should follow the procedure below from stage 3:

The complainant should outline their complaint to their Team Manager for resolution, formally in writing.

The club safeguarding should also be made aware of the complaint and its nature, to assess if there are any potential safeguarding concerns associated with the complaint. If there is a conflict of interest regarding the complainant, the complaint should be escalated immediately to the following stage. 

Failure to resolve the complaint at stage 1 will lead to the escalation of the complaint to the Mini and Junior Officials via the Team Manager or the parent or guardian (if they feel the complaint has not been dealt with by the Team Manager).

Failure to resolve on stage 2 will lead to escalation of the complaint to the CRFC management committee. This occurs when the M&J Officials cannot resolve the issue, if there is a conflict of interest or feel it necessary due to the gravity of complaint.

The complainant should outline their complaint to the Honorary Secretary formally in writing. The club safeguarding should also be made aware of the complaint and its nature, to assess if there are any potential safeguarding concerns associated with the complaint.

The CRFC management committee will deal with the complaint, address the concern with the complainant and respondent (if required) and subsequently feed back to the complainant. 

Failure to resolve at stage 3 will lead to further escalation of complaint to Dragons GMG and / or the WRU. This occurs if the complainant is not satisfied with the proposed resolution, or the CRFC management committee feel the nature of complaint that they need professional guidance.
